- Hours per week: 20 hours a week
- Stipend/Benefits: Tuition waived up to 24 academic credits & a $1,000 stipend for the academic year
Role Summary The Graduate Assistant supports the Office of the Registrar through part-time engagement in daily operations related to student records management and the administration of academic programs and initiatives at Albertus. This role provides broad exposure to core functions of academic administration, fostering the development of transferable, career-oriented skills applicable across higher education and related sectors. The Graduate Assistant contributes to special projects, program planning, and data management while providing responsive support to students, faculty, staff, and alumni. Additionally, the role collaborates with the Office of Academic Affairs, including the Assistant Vice President for Academic Affairs and the Faculty Services Coordinator, to advance institutional priorities and ensure efficient administrative operations.
Qualifications Primary Responsibilities
- Maintain and manage student records in compliance with institutional and regulatory standards, including database updates, transcript processing, enrollment verifications, and resolution of student requests.
- Serve as a primary point of contact by responding to phone and email inquiries from students, faculty, staff, and external stakeholders in a timely and professional manner.
- Deliver high-quality, student-centered customer service, ensuring a positive experience for all members of the Albertus community.
- Conduct data-informed research and analysis to support academic program review, development, and strategic initiatives.
- Prepare ad hoc reports and datasets to support institutional events and operations, including Commencement, Laurel Awards, and other administrative requests.
- Support the administration of U.S. Department of Veterans Affairs educational benefits by tracking, reconciling, and coordinating payments in collaboration with the Bursar's Office and Finance Department.
- Monitor and track academic course fees and enrollment targets to inform financial planning and resource allocation within Academic Affairs.
- Assist in the preparation and verification of academic honors, including Dean's List and President's List recognitions.
- Provide operational and logistical support for institutional events and special initiatives.
- Ensure strict adherence to FERPA and other applicable regulations governing the confidentiality and security of student information.
- Provide front-desk coverage within the Student Administrative Services suite as needed, supporting a collaborative environment across the Bursar, Financial Aid, and Finance & Administration offices.
Eligibility & Requirements
- Enrollment: Must be currently accepted in the Master of Business Administration (MBA) program at Albertus Magnus College.
- Skills: High level of confidentiality and discretion; strong written and verbal communication skills as well as strong interpersonal skills; solid computer skills (especially Microsoft Excel); a willingness to learn and adapt to new software technology; creative and innovative thinking mindset, adaptable to change and working in team projects; exercises good judgement and willingness to take initiative; and the ability to multitask and work gracefully under pressure.

- Gain hands-on exposure to institutional operations, including records management, financial coordination, and cross-departmental collaboration, while developing practical skills in organizational processes, workflow management, and operational efficiency.
- Build experience working with institutional data, preparing reports, analyzing trends, and supporting strategic initiatives, and strengthening competencies in data interpretation, Excel usage, and evidence-based decision-making valued in business and administrative careers.
- Contribute to special projects, institutional events, and program planning activities, providing opportunities to develop project coordination, problem-solving, and strategic planning skills applicable across business environments.
- Gain insight into higher education administration and organizational leadership while developing transferable competencies, such as compliance awareness, process improvement, and organizational decision-making, that translate directly to careers in business operations, management, finance, and consulting.
